Arts Administrator/Bookkeeper

Part-time/contract position: $7,560 annually

Estimated time commitment:

1 - 2 days/month off season (Feb – Aug)

1- 2 days/week during the production season (Sept – Jan)

Alberta Dance Theatre (ADT) is a non-profit, charitable non-competitive performing company for youth based in Moh’kinsstis, also known as Calgary. ADT provides an outstanding and unique program to dancers in grades 1-12 in Calgary through an intense 12-week program where dancers engage in a creative process alongside professional dance and theatre artists. Dancers not only learn to create choreography, tell stories, and gain performance training from their mentors but also develop skills such as creative problem solving, healthy risk taking,collaboration, and leadership.

 

Rehearsals culminate in an annual show where the choreography, script, originally composed music, and lighting design are all specifically crafted for the production. ADT youth artists engage in a busy show week in a professional theatre. The inspiration for each show comes from a piece of children's literature.

The Role

We are looking for a skilled, detail-oriented, and collaborative Arts Administrator/Bookkeeper to join our team. As a key member of the administrative team, you will report directly to the Board of Directors and work closely with the co-Artistic Directors/General Managers, contracted artists, members of the ADT community, and the public.

 

The Arts Administrator/Bookkeeper helps support the organization in a wide range of financial, accounting, and administrative functions. The ideal candidate is very well organized, a good communicator, results-oriented, and has demonstrated experience in the nonprofit, charitable sector.

Responsibilities

  • Manage all administrative matters relating to ADT not otherwise delegated to volunteers or other contractors

  • Attend meetings and production rehearsals as needed

  • Support applications for grants and funding on behalf of ADT with the Artistic Directors; complete and submit grant and funding applications within the applicable deadlines

  • Perform all bookkeeping duties including tax documents submissions and prepare monthly and annual financial reports to maintain charitable status and for audit including balance sheets, income statements, and cash flow statements

  • Monitor income and expenses throughout the production year to ensure consistency with ADT's budget

  • Manage the full casino process from applications through support to the Board in securing volunteers

  • Oversee all fundraising activities as they pertain to AGLC (Alberta Gaming, Liquor and Cannabis Commission) compliance

  • Provide regular progress reports to ADT's board of directors with respect to accountabilities, milestones, contractors or membership issues and year end matters by way of a written monthly report submitted to ADT's board of director

  • Arrange and advise on Insurance policies required for both ADT members and ADT Board of Directors

  • Advise and / or perform all requirements as appropriate to ensure the charitable status of the company is maintained

Desired Qualifications

  • 5+ years of accounting experience in a non-profit, charitable organization

  • Technical accounting skills including preparing and analyzing budgets and year-end financial statements and working papers

  • Intermediate proficiency in Quickbooks and Microsoft Office (Excel and Word) is required

  • Strong communication skills and experience handling sensitive information

  • Quick learner, collaborative, proactive, and accountable

  • Demonstrated ability to work independently

  • Highly organized and excellent time management

  • Detail and deadline-oriented
